For an engineered magnet order, a grade certificate by itself is not a complete traceability chain. The purchasing question is whether the inspected parts, the magnetization record and the released drawing revision can be tied to the same lot. At Nibboh, we recommend agreeing that chain before production rather than trying to reconstruct it after a receiving discrepancy.

Start with one lot identity

Ask the supplier to assign a lot or batch identifier that appears consistently on the inspection report, packing list, certificate of conformity (if supplied), magnetization record and retained sample label. The identifier should also reference the purchase order, part number, quantity and production date or date range. Do not accept a document that describes only “N35 magnets” without identifying which shipped parts it covers.

Connect the lot to the controlled drawing

Your request should name the drawing number and revision, not only attach a file. Ask the supplier to state the revision used for tooling, machining, inspection and magnetization. A revision change can affect dimensions, chamfers, poles, orientation marks or coating allowance. Record the approval date and the change description in your purchasing file. Nibboh’s official sintered NdFeB product page asks buyers to share a drawing when available; use that opportunity to make the revision identifier explicit.

Separate material evidence from magnetization evidence

Material grade and magnetization direction answer different questions. Request the agreed grade designation and the applicable property table or test report for the lot, while separately requesting the magnetization direction, pole drawing, magnetizing fixture or process reference, and the acceptance method. If a field reading is required, specify the test location, instrument type, fixture, distance and polarity convention. A photograph of a magnet is not evidence of its pole orientation.

Define the inspection record before shipment

For each critical characteristic, agree the nominal value, tolerance, sampling plan or 100% requirement, measurement method and result format. Ask for the actual measured values or a clearly identified summary, plus instrument identification and calibration status where measurement traceability matters. The ISO/IAF auditing guidance on monitoring and measuring resources explains that measuring resources should be suitable for the measurement activity and that calibration, uncertainty and traceability should be considered in proportion to the risk. That is a useful basis for specifying the record you need, not a claim that any particular Nibboh lot has been certified.

Use a receiving cross-check

At receipt, compare the label and packing list to the PO, drawing revision and inspection record. Check a sample for the agreed dimensions and confirm magnetization using the agreed method. Quarantine mismatched labels or documents instead of silently merging them into an older lot. Keep the receiving result with the supplier’s record so a later nonconformance can be traced to the same identity.

Buyer checklist

  • Lot ID appears on every applicable quality and shipping record.
  • PO, part number, quantity and drawing revision are cross-referenced.
  • Magnetization direction and acceptance method are written, not inferred from a photo.
  • Dimensional and magnetic results identify method, instrument and conditions where relevant.
  • Changes require a new revision or documented approval.

We can review an application drawing, quantity, operating temperature and coating requirement with your inquiry. Please ask for the exact lot documents your quality plan requires; without a model-specific report, we do not claim measured results for a particular order.
